Customer care / Practical guide
When does AI care actually save money?
A faster reply is useful. It becomes a cash saving when it reduces outsourcing, overtime, paid handling or a hire you would otherwise need. Use those costs to make the business case.
1. Choose the issues AI can finish
Review recent issues by reason, not by number of messages. Delivery status and clear policy questions are a sensible starting point. Exclude exceptions that require judgment, missing data or approval outside the agreed rules.
2. Put a cash value on the work avoided
Estimate how many eligible issues AI can complete and the variable cost you can stop paying for each. Do not count the whole support budget if staff and contracts remain unchanged. Treat time released for other work as a separate operational benefit.
3. Include every relevant cost
Care costs 149 €/month with 250 AI resolutions. At 1 000 resolutions, 750 additional issues × 0,45 € add 337,50 €. With an assumed 10 € of extra channel usage, the monthly total is 496,50 €. Add a dedicated number, complex workflows and services if you use them.
4. Check quality before scaling
Sample resolved cases, monitor handoffs and review reopenings. Failed attempts and human escalations are not resolutions; reopening the same issue within 72 hours reverses its resolution charge. Adjust the permitted scope when the evidence changes.
